Board members will be reimbursed travel expenses incurred while performing official duties outside the school district. The purpose of this rule is to establish procedures for orderly payment of these expenses. All expenses shall be reasonable and proper with a special mission to safeguard the public trust and tax dollars.

  1. Board members will submit their request for travel to the board for approval. The board president may approve requests in emergencies.
  2. Travel to meetings, conferences, workshops, etc. may be by school district vehicle. If a school district vehicle is requested and not available, a personal car may be used and the school district will reimburse for actual mileage upon submission of proper claim form at a rate per mile as determined by the board. If a board member chooses to use their personal vehicle when school district vehicles are available, reimbursement for one-half (1/2) of the mileage will be made at a rate determined by the board upon submission of proper claim form.
  3. The actual cost of meals will be reimbursed up to a limit of $27.50 daily including tax and tips. Three meals are allowed if the person departs by 6:00 a.m. and returns after 6:00 p.m. Special allowances or exceptions will be made for banquet meals as part of a conference. Alcoholic beverages are not reimbursable.
  4. When overnight travel is required, lodging will be reimbursed at the actual cost based on the single occupancy rate. Expenses for spouses are not reimbursable.
  5. When travel requires the use of aircraft, the school district will reimburse coach airfare. If a board member elects a different option for travel, the school district will reimburse coach airfare, mileage or actual cost whichever is less.
  6. Travel reimbursement shall be submitted on the school district’s form with attached receipts for registration fees, meals, lodging, parking, airfare, and other miscellaneous receipts.
